In Outlook 2010 the default size limit of a Personal folder or PST file is 50 GB while Office 2007 and 2003 have a 20 GB limit. That is a lot of email if you chose to fill them. While this space looks like a great alternative to your limited exchange account, if you have an exchange account that is small, storing all your precious email in a personal folder can be dangerous if something happened to that file. In most common situations, the PST file will become corrupt, and all the email, attachments, and everything will be lost. Yes there are ways to repair PST files, but even that is not guarantee. The best way and most reliable is to have a steady back up system. Here is how to backup personal folders in Outlook.
Backup Personal Folders with an Add in
First step is to download the Personal Folder Backup add in from Microsoft, link below.If you are using a 64 bit version of Microsoft Outlook, then go down to the 64 bit Outlook 2010 instructions below. 32 bit Outlook user continue with the install of the add in by running the installer. You will want to start the installer and click Next to proceed.
Agree with the License Agreement and click Next to continue.
You will be asked if you are ready to install. Click Next to continue.
The installer will take a moment to finish so be patient while you wait. After it is all done click Finish to close the installer.
Next open Outlook and go to the Add-Ins section and select Backup from there. If you are using Office 2010 you have a nice tab just like me.
If you don’t want to go to the Add in section you can just close Outlook. The Personal Folders Backup window will automatically open. Here you click the Options button to configure the options.
On the Backup options you can change the reminder to backup your personal folders to a certain amount of days. Which personal folders you want to backup and where. We recommend an online storage location just in case your computer crashes for the backup location.
Microsoft Personal Folders Backup Add in Outlook 64 Bit error
If you are an Outlook 64 Bit user than you will not be able to use the add in to backup your PST files. You will get the error below:
Setup has detected that you do not have Outlook 2000, Outlook 2002, or Outlook 2003 installed on this machine. Before this download can be installed you must first install Outlook or an Office family product that includes Outlook.
